Privacy Policy

This Privacy Policy explains how Happenee s.r.o. handles personal data in the Happenee mobile app, web app, public event pages and related platform services.

1. Who we are

The Happenee app and platform are operated by Happenee s.r.o., registration number 04216202, with registered office at Bastyrska 142, Hostavice, 198 00 Prague 9, Czech Republic.

2. Scope of this Privacy Policy

This policy applies to the Happenee mobile app, attendee web app, public event registration pages, organizer platform features, customer support and the Happenee website.

Many events in Happenee are created by event organizers. When an organizer decides what registration fields, event forms, tickets, networking, surveys or check-in flows are used, the organizer may be the controller of that event data and Happenee may process the data on the organizer's behalf.

Event organizers may provide their own privacy notice for a specific event. If an event-specific privacy notice is available, read it together with this policy.

3. Personal data we may access, collect or process

Account and profile data

  • Name, surname, email address, phone number, company, job title and profile details you provide.
  • Login credentials, authentication data and password reset information.
  • Profile visibility settings and attendee networking preferences.

Event registration and participation data

  • Event registrations, invitations, attendance status, check-in records, QR codes, tickets and payment status where tickets are used.
  • Answers submitted in registration forms, surveys, polls, Q&A, feedback, chat or meeting modules, depending on the event setup.
  • Agenda selections, session registrations, favorites, ratings and interaction history inside an event.

Device, app and technical data

  • IP address, browser or device information, operating system, app version, language, timestamps and diagnostic logs.
  • Push notification tokens when you enable notifications in the app.
  • Cookie and website analytics data as described in our cookie notices and consent tools where applicable.

Support and communication data

  • Information you send to us through support, contact forms, email or data deletion requests.
  • Newsletter subscription data if you choose to subscribe to commercial communications.

The exact data depends on the features you use, permissions you grant and the setup chosen by the event organizer.

4. How we use personal data

  • To provide the Happenee app, user account, event registration, ticketing, check-in, attendee engagement and related platform functionality.
  • To display event content, attendee profiles and networking features when enabled by the organizer and allowed by your settings.
  • To send transactional messages, event updates, service notifications and push notifications you have enabled.
  • To provide customer support, resolve technical issues, prevent abuse and keep the platform secure.
  • To comply with legal obligations and protect our rights, users, organizers and platform services.
  • To send newsletters or marketing communications only where we have a valid legal basis, such as your consent or another lawful basis under applicable law.

We do not sell personal or sensitive user data.

5. Who may receive personal data

We may share personal data only as necessary for the purposes described in this policy:

  • Event organizers and their authorized teams, when data relates to their event or solution.
  • Other event participants, only where an event feature such as attendee networking is enabled and your profile visibility settings allow it.
  • Technology service providers, hosting providers, data storage providers, email delivery providers, push notification providers, payment gateway operators, analytics or security providers.
  • Professional advisers and service providers supporting accounting, legal, administrative, customer care or platform operations.
  • Public authorities or other parties where required by applicable law or necessary to protect legal claims.

Some providers may process data outside the European Economic Area. Where this happens, we use appropriate safeguards required by applicable data protection law, such as Standard Contractual Clauses or other valid transfer mechanisms.

6. Secure data handling

We use administrative, technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration or disclosure.

  • Data is transmitted using HTTPS or other secure transport mechanisms.
  • Access to production systems and personal data is restricted to authorized personnel and service providers with a need to know.
  • We use technical safeguards such as encryption, firewalls, malware protection, backups, monitoring and vulnerability management.
  • We train relevant personnel and require confidentiality from employees and service providers who handle personal data.

You can help protect your data by keeping your password or PIN confidential and keeping your device secure.

7. Data retention and deletion

We keep personal data only for as long as needed for the purposes described in this policy, for the duration of your account or event participation, for the period required by law, or for the period needed to establish, exercise or defend legal claims.

  • Account data is generally kept while your user account is active and then for applicable limitation or legal retention periods.
  • Event data is retained according to the event setup, organizer instructions and applicable legal requirements.
  • Support and incident records are retained for the time needed to resolve the request and protect legal rights.
  • Newsletter data is retained until you unsubscribe or withdraw consent, plus any period needed to document compliance.

You may request deletion of your Happenee account or personal data by emailing support@happenee.com or by submitting the data removal form at https://happenee.com/removeData.html.

If we must retain certain data for legal, security, fraud prevention, accounting or dispute-resolution reasons, we will retain only the data necessary for those purposes.

8. Your privacy rights

Depending on applicable law, including the EU General Data Protection Regulation, you may have the right to:

  • Access your personal data and receive information about how it is processed.
  • Request correction, completion, deletion or restriction of processing.
  • Object to processing based on legitimate interests or to direct marketing.
  • Withdraw consent where processing is based on consent.
  • Request data portability where applicable.
  • Lodge a complaint with a data protection authority.
